Everyday decisions
Before assigning access, list the decisions your team needs to make: registering professionals, organizing groups, assigning training, and tracking completion. For each activity, identify an owner and who should be consulted. This helps prevent tasks from being overlooked or carried out twice.
Use role names that people recognize within the organization. A list of technical permissions alone does not explain who should act when someone joins the team or a training program needs updating.
Access and responsibility
Professionals need to find their activities and know how to ask for help. Managers need to follow the team within the unit they are responsible for. Review access when someone changes roles, moves to another unit, or leaves the organization, following internal procedures.
Also record who covers each responsibility during absences. The aim is to keep everyday work running without sharing accounts or passwords.
Team agreements
Explain the process with a concrete example: a new team member needs to complete training. Who confirms registration, who follows completion, and who handles questions? If the answers are unclear, adjust the process before expanding the operation.
